I will start with a sincere confession: My PC is a mess! And if you need a system to organize your drive space efficiently, you’re probably in the same situation. Everyone has their own system to work in an organized mess, but that only works up to a point when you realize you’re running out of drive space and you can’t actually find your older files. It’s time to tidy up your drive, so let’s get to it!

Cleaning your drives comes first

Like your household, the drives need regular cleaning

Before putting the files in their places, you need to get rid of temporary files, old and unused programs and files, and anything you don’t want anymore.

To do that, go to Settings (Win + I) -> System -> Storage and click on Temporary Files. Now, check all the boxes below and click the Remove files button. For me, that cleared 56.8GB of temporary files that just clogged the drive unnecessarily. Depending on the number of files, this will take from a few seconds to 10–20 minutes. You may also use Disk Cleanup, but it’s less efficient after you’ve cleaned the files using the Storage method.

Now, go back to the Storage window and select Installed apps instead. Go through the list and uninstall any software you don’t use anymore, or you didn’t even know you’ve installed at some point. Also, make sure that the Storage Sense option is turned on. It will automatically clear out space on your system drive by deleting temporary files and help you manage the cloud content stored locally.

However, this works mostly on your system drive (usually C:). If you have other drives and partitions, you have to inspect the contents in File Explorer (Win + E) and delete the unnecessary files and folders manually.

Archive old files

At least they will use less drive space

If you have any photos, videos, or files that you have barely looked at in recent years, it’s time to archive them. This is probably the most tedious step, because you need to sort them carefully. The tip here would be to go to their respective folders in File Explorer and use the Filter tool. Select Images or Videos. This way, you can see precisely those categories and store them separately. They will also be sorted by date so you can determine when you got them.

After you sort the files into folders, right-click the folders (one by one or all together), select the Compress to option, and select the compression method you want to use. Windows 11 has built-in ZIP and TAR, but you can install another archiver, such as Win RAR, 7z, etc.

If you have gigabytes or even terabytes of old data, archiving your files will save you massive amounts of space on your drives.

Use cloud storage or back up your data on external drives

It’s better to be safe than sorry

If you have some important files that you don’t want to lose, you should back them up. Organizations use a three-way backup system for sensitive data. Maybe it’s not really necessary to save your data in three separate storage solutions, but if you archived your data, it’s easy to back it up on an external drive or by using a cloud storage service.

Call me old-fashioned, but I like keeping my valuable data on my own external HDD, SSD, or even a flash drive. Nowadays, a 1TB flash drive is around $50 – $100, and it’s enough to store the most essential data you cherish.

The alternative and immediate free solution is to store your files in the cloud. OneDrive comes with Windows 11, and it’s free to use but offers only 5GB of storage. However, if you have a Microsoft 365 Copilot license, you get 1TB of storage. You can also go for Google Drive, where you have 15 GB of free storage, Dropbox, or iCloud. Depending on how much data you need to store, you might also consider paying for the storage space. For example, a $2.50 monthly payment will get you 100GB of Google Drive storage.

Create a logical folder structure

This part depends mostly on your logic

So, now that you’ve deleted the useless files and programs and archived the old ones, it’s finally time to sort your useful data.

Start by identifying the broad categories that make sense for your workflow. For example, the folder called Work might have subfolders like Invoices, Reports, Presentations, or whatever makes sense for your work data. In the Personal folder, you might have subfolders like Photos, Music, Travel Plans, Finances, and other related personal items that are relevant to your usage. If you’re a student, you can have a general folder called School where you store files in subfolders like Assignments, Notes, Exams, Papers, and so on.

I also have some tips for this method. Capitalize the first letter or use underscores, and avoid overly deep folder hierarchies (2–3 levels of subfolders are usually enough).

Use descriptive file names

This will help you find your files a lot faster

The best and most important method to keep your files tidy is to properly name them when you store them. I’m not only talking about saving them in their correct place but also giving them descriptive names.

For instance, when you’re saving a budget report, the name should reflect its purpose and status: Q4_Budget_report_final, 2025_01_14_Budget_Report_v1, Budget_report_sales_January_2025. Yeah, it is a bit of an effort, but you will thank me later when you want to find the file inside your folders.

If you haven’t done that until now, you may also open and rename your files, but it will take a lot more time. Also, try to be consistent with your naming. If you’re using the Date_name_version system, don’t change it. Also, don’t use special characters such as !, /, or *, because they may cause further confusion.

Regularly remove unnecessary files and apps

You have to do this at least once a month

If you want to organize your drive space efficiently, you must perform all these organizational and cleaning tasks at least once a month. It took a whole day for me to clean and organize my drive space because I kept postponing it indefinitely. That’s exactly like cleaning your house. If you keep it clean regularly, that big spring cleaning becomes a lot easier.

So, once a month, take an hour of your time to delete temporary files, delete big or unused data, uninstall useless software, and make sure that everything is stored in the right place in the correct folder with the right name.

Go into the Downloads folder and delete everything you don’t need. There might be installers you’ve already used or files you’ve already copied or used in other applications, so it’s safe to get rid of them.

Use system optimization tools

They do all the work a lot faster and easier

If you’ve used all the previous tips, using system optimization tools is the cherry on top of a well-done job. These apps will help you regularly delete useless and temporary files, free up your RAM, and some may even update your drivers.

For instance, you might want to start using the free Microsoft PC Manager tool with Windows 11. It comes with a Deep cleanup tool that will scan your drives and find all the junk files you don’t need. PC Manager automatically finds files larger than 1GB that haven’t been used for at least 10 days. You get the list, and then it’s only a matter of checking some boxes and hitting the Delete button.

The tool can even scan for duplicate files on your drive. The scanning will take a while, but it’s extremely useful. After such a scanning operation, I removed 41GB of duplicate files. Keeping your system clean and organized will save a lot of drive space

So, these are the seven steps to organize your drive space efficiently. Clean your drive, archive old files, and back them up, then make sure the remaining files are organized. After that, perform regular cleaning on your drive and use system optimization software.

It might seem complicated and time-consuming initially, but if you do it regularly, your drive will never feel better. You will find all your files much quicker and the system will run faster. This will also prevent clogging and BSoD errors.
